Goal Details Screen
Guidance from the current Satisplan knowledge base about goal details screen.
If you tap on a Goal tile, you will open the Goal Details Screen. Depending on Goal editing permissions, you can either edit some details or just view them.
Goal Details Screen navigation
The top navigation bar in the Goal Details Screen gives you the ability to perform the following actions, described here in their order of appearance from left to right:
- **Back arrow:**go back to the previous screen you were in - if you edited the Goal, you will be asked whether you want to discard your changes
- Accept / Reject: this button allows you to Accept or Reject a Goal that was assigned to you. The button has a different aspect, depending on whether you already accepted the Goal or not. For more details about this functionality, see Accepting / rejecting Goals
- **Save:**this button lets you save the Goal. Note that only the Goal Requester and Goal Owner (or an Admin) can view this button and save the Goal, as detailed in the “Goal editing permissions” section
- **Delete:**this button looks like a bin and lets you delete the Goal. Note that only the Goal Requester can view this button and delete the Goal, as detailed in the “Goal editing permissions” section. It is not always possible nor advisable to delete a Goal - for more details, see Deleting Goals
- **Change colour:**tap it to change the colour of the Goal tile’s left border
- Share / Copy Goal link: share / copy this Goal’s unique link. On desktop and mobile web, it will copy the link, which you can then paste into another Goal or Task’s fields, a document, an email, or another tool of your choice. On mobile app, it will open your phone’s workflow to share the link to another app or copy the link
- **Add new sub-Goal:**create a new Child Goal, nested underneath this one. This will open the Goal Details Screen of the new Goal - to avoid confusion, it is advisable not to tap this button while you have changes pending in the current Goal
- **Add new Task:**create a new Task for this Goal (see “Creating Tasks & assigning them to Goals and Owners”). This will open the Task Details Screen of the new Task - to avoid confusion, it is advisable not to tap this button while you have changes pending in the current Goal
- Clone Goal: create another Goal that is identical to this one (and has you as the Goal Requester, regardless of who was the Requester of the original Goal)
Underneath this navigation bar, you will see the various attributes of the Goal.
Goal attributes
Satisplan is uniquely designed to help people hit their Goals, whether working on them alone or collaboratively with a team. Either way, the software helps the users stay Accountable to whom they promised certain deliverables to, while giving visibility on other people’s work progress.
Goals are defined by their attributes, which are explained in detail below. Many attributes have default settings or are entirely optional, so within the explanations of each attribute, we will also suggest how / when we recommend setting or editing them.
Finally note that certain attributes of a Goal can only be edited by certain users, depending on the users’ roles with regards to the Goal itself. This is detailed in the section called “Goal editing permissions”.
If you tap on a Goal tile, depending on permissions, you can view or edit these details:
- **Goal Name:**no length limit but we recommend keeping it short and sweet, so that people can easily use it to reference the Goal in conversation
- **Done pill:**used to either mark the Goal as Done or not Done. The state of this toggle is one of the elements through which the system determines the State of a Goal (see Goal States explained). Do not worry if you forget to mark a Goal as Done: you can mark it as Done at any time later, and the software will remind you by setting your Goal to a specific, appropriate State
- Done Time: this will only appear if the Goal is Done or Done Late (see Goal States explained). The timestamp is automatically generated when the Done pill is toggled. If the Goal Owner wishes to change the time shown here, for example because the Goal was not marked as Done at the correct time, s/he can do so by tapping on the timestamp
- Goal Description: more details on the Goal - if the Owner is different from the Requester, the Owner cannot edit this part (and should write things in the Notes section below). In this way, the details of the original request are preserved. We recommend writing in here as much or as little as needed, so that the Owner understands how success in delivering this Goal is defined. This may include a description of the expected deliverable(s), KPIs, useful background and suggestions, etc.
- **Owner:**this is the person responsible to carry out the Goal. It can be you or someone else who has an account belonging to the same Shared Space. Only one person can be selected, because shared responsibility is no responsibility. Of course, this person is free to collaborate with others to complete the Goal, by assigning Sub-Goals or related Tasks to others. The Owner has responsibility over the Goal’s delivery, and is thus the only person who can edit certain Goal attributes (see details in Goal editing permissions). Another important role, the Goal Requester can edit the other attributes (see Requester further down on this list of attributes). When a user creates a Goal for him/herself, the Requester and the Owner will coincide
- Owning Team: if you do not know the correct person but you know the correct Team, use this field to assign a Goal to them (their manager will be notified)
- Collaborators: the people who can view the Goal and the Tasks linked to it. Users or Teams can be added here. They should be added on a need-to-know basis
- Space: [cannot be edited] a Goal can only belong to one Space, which will either be one of your Shared Work Spaces or your Personal Space (see Spaces section)
- Deadline:[optional] this is the date and time by which the Owner must deliver this Goal. It is optional but is recommended when a Deadline is unchangeable, and in general when the Owner and Requester are different people, in order to set clear expectations
- Timeframe: the expected Start and End date. The End date is optional and may or may not coincide with the Deadline
- **Notes:**more details on the Goal - if the Owner is different from the Requester, the Owner can write his/her notes here. We recommend that the Owner writes in here any important updates that s/he wants the Requester or relevant Goal Collaborators to know, or simple reminders for him/herself
- Requester: [cannot be edited] this is the person who created the Goal and wishes for the Goal to be successfully completed. The Requester is the only person who can edit certain Goal attributes (see details in Goal editing permissions). Another important role, the Goal Owner can edit the other attributes (see Owner further up on this list of attributes). When a user creates a Goal for him/herself, the Requester and the Owner will coincide
- Reasons for Delay: [cannot be edited] this field only appears when a Goal is Delayed or Done Late (see Goal States explained). It contains the Tasks that caused the Delay. The Task tiles shown here can be clicked to view the details of said Tasks. See more details in the Reasons for Delay section
- **Comments:**you can read previous Comments and add your own. Unlike other fields, which can generally only be edited by Owner or Requester (or an Admin), anybody who can view the Goal can also leave Comments.
Accepting / rejecting Goals
- When a Requester assigns a Goal to a different Owner, the Owner needs to accept the Goal
- To leave no doubt as to which Goals have or have not been accepted by their Owners, while the Goal is still unaccepted, every user who can see the Goal will see that:
- The Goal Tile has a white background wherever it is shown - i.e. in the Calendar Screen and in the Overview Screen
- The top of the Goal Edit Screen clearly states that the Goal has not been accepted
- To Accept a Goal, the Owner can simply open the Goal Edit Screen and tap the “Accept” button at the top, or the grey, hollow “thumbs up” icon at the top
- After a Goal was accepted, the “thumbs up” icon at the top of the Goal Edit Screen will become filled with a blue colour
- To Reject a Goal, the Owner can tap the “Reject” button
- After a Goal was rejected, the “thumbs up” icon at the top of the Goal Edit Screen will become a “thumbs down” icon filled with a red colour
- If the Owner wishes to un-accept a Goal, s/he can do so by simply tapping the blue “thumbs up” or red “thumbs down” icon at the top of the Goal Edit Screen
- Note that:
- Only the Owner can accept a Goal
- If a Goal was accepted, but then the Owner is changed, the Goal will automatically change to “Not Accepted” until the new Owner accepts it
Deleting Goals
At the top of the Goal Details Screen, if you have the right permissions, you will see a “delete” icon, shaped like a bin. Unless you want to immediately delete a Goal you created by mistake, we advise not to delete old Goals, as this might disrupt historic performance reporting. Instead, end the Goal by setting an End date.
Note that you cannot delete Goals that have Children, unless you also delete the Children first. If Children Goals are present, the “delete” icon will look like a bin with a cross drawn upon it. Tapping the “delete” icon in this situation will bring up a dialog saying that, because this Goal has sub-Goals associated with it, it cannot be deleted.
Note that sometimes the sub-Goals may not be visible to you, either because:
- The sub-Goals are outside the timeframe you are currently visualising in the Overview Screen
- You do not have permission to view the sub-Goals (you are not the Goal Requester, Owner, Collaborator, nor part of the Owning Team or a Team listed as Collaborator)
In all of these cases, you should consider ending the goal by setting an end date.
Goal States explained
Every Goal has a State, which is automatically determined based on the conditions described below. By marking the Goal as done or not done (toggling the Done pill), you will also affect this State.
- Done: [colour: dark green] the Goal was completed on time
- Done Late: [colour: light green] the Goal was completed late (after its deadline)
- If the Owner marks the Goal as Done after the deadline, but indeed s/he completed it before the Deadline, the Owner can edit the Done time in the Goal Details Screen
- Goals in this state will also have a list of Reasons for Delay, to help users quickly identify and view the Tasks that caused the delay
- At Risk: [colour: yellow] the Goal’s deadline, if any, has not passed yet, but there are reasons to pay particular attention to this Goal before it gets derailed, namely:
- The End Date of the Goal has passed; or
- Within the Goal, there are Tasks which are Delayed or Expired (see Task States explained) - if these Tasks do not get addressed, the Goal might fail
- Delayed: [colour: orange] one or more Tasks associated with the Goal are scheduled to be completed after the Goal Deadline, so Goal delivery will be late. Note that these Tasks may be owned by the Goal Owner or by other users.
- Goals in this state will also have a list of Reasons for Delay, to help users quickly identify and view the Tasks that are causing the delay
- Expired: [colour: red] the Goal’s Deadline has passed and so has the time that was allocated to carry out Tasks associated with it. It appears that the Owner “forgot” about this Goal and its associated Tasks, thus making this the least desirable State
- To Do, In Progress:[colour: grey] the Goal States coloured in grey essentially mean that there is “no problem” with the Goal. Their specific definitions are:
- **To Do:**there no completed Tasks associated with the Goal, and the Start Date of the Goal is in the future
- **In Progress:**there are already some completed Tasks associated with the Goal, or the Start Date of the Goal has passed
“Reasons for Delay” and why they are important
Whether a Goal’s delivery is expected to be delayed or was already completed late, it might be useful to understand the reasons why. Namely:
- If a Goal’s state is Delayed: the “Reasons for Delay” are Tasks which are scheduled to be completed after the Goal’s Deadline
- If a Goal’s state is Done Late: the “Reasons for Delay” are Tasks whose Done time is after the Goal’s Deadline - if the Tasks’s Done time is incorrect, the Task’s Owner can modify it from the Task Details Screen
In both of these cases, the “Reasons for Delay” appear as a list of Tasks within the Goal Details Screen. This list is created automatically. The Task tiles shown here can be clicked to view the details of said Tasks.
Goal Hyperlinks and Attachments
The following Goal fields support Rich Media formatting, which includes the ability to add hyperlinks:
- Goal Description
- Goal Notes
- Goal Comments
In order to open a hyperlink:
- On desktop, press Cmd-click on Mac or Ctrl+click on Windows
- On mobile, press and hold the hyperlink until it opens
If you want to add attachments to your Goal, such as screenshots, PDFs, or other documents, we recommend uploading your document to your desired Cloud storage platform (Google Drive, Dropbox, etc) and then pasting its hyperlink into your Goal.
Goal editing permissions
To promote Accountability and make teamwork smoother, only certain users can edit certain attributes of a Goal, depending on the users’ roles with regards to the Goal itself. This is detailed in the table below.
Only the Requester can modify certain fields like Description and Deadline - this ensures nobody forgets what was agreed in principle.
Only the Owner can modify certain fields, like Notes - this ensures that the Owner can carry out the Goal independently, while all updates about the execution of the Goal can be viewed by the Requester and relevant Goal Collaborators.
Please note that nobody other than the Goal Requester or the Goal Owner (or an Admin) can modify a Goal in any way. However, Goal Collaborators or other viewers may leave Comments (at the bottom of the Goal Details Screen).
