Goal Panel
Here you can view all Goals that you have permission to view. You can also create new Goals or edit the existing Goals for which you have editing permission.
Parent Goals and Children Goals
Goals can be nested infinitely, meaning you can have as many Goal levels as you want. The Goals at the top level are called Parent Goals, while Goals nested underneath them are called Children Goals.
Typical Goals created in Work Spaces
There are many types of “jobs to be done”. They could be strategic company objectives, portfolios of projects, single projects, sub-projects, or milestones and deliverables. In Satisplan, all of these are called Goals and can be nested infinitely, to give you unparalleled flexibility. Goals can be personal or collaborative.
Before creating Goals, it is important to decide the Goal structure you want to create, which should suit your own company organisation and working style.
Many companies organise their Goals with this type of structure, which allows them to cascade goals from the Company, to Teams, and to individuals -and which is also very useful to track performance.
- Company Goal #1 for the year 2024
- Team A Goals for Q1 2024
- Team A Goal #1.1 for Q1 2024
- Individual Goal X for Q1 2024
- Individual KPI A1 for Q1 2024
- Individual KPI A2 for Q1 2024
- …
- Individual Goal Y for Q1 2024
- Individual KPI B1 for Q1 2024
- Individual KPI B2 for Q1 2024
- …
- Individual Goal X for Q1 2024
- Team A Goal #1.2 for Q1 2024
- …
- Team A Goal #1.1 for Q1 2024
- Team B Goals for Q1 2024
- …
- Team A Goals for Q1 2024
Pro tip: you might find it useful to create Goals for the most important meetings for which you might want to track agreed actions & responsibilities. For example, you can create a Goal for your Monthly Leadership Meeting. The reason is that you can tag individual Tasks with multiple Goals. So for example, during your Leadership Meeting you might agree for Claire to carry out a task that’s related to your Marketing department’s goals. Later, you will be able to track this Task for both of these purposes:
- As a Marketing Task, contributing to the success of the Marketing Team’s relevant Goals
- As a Leadership Meeting Task, to ensure Claire is accountable for it during the next Leadership Meeting
Typical Goals created in Personal Spaces
Typical Goals created in Personal Spaces may include:
- Family
- Friends
- Hobbies
- Reading
- Studying
- Side Hustles
- Chores or Life Admin
- Fitness or Exercise
- Sleep
Some users also nest specific projects underneath these Parent Goals.

Viewing or Editing Goal Details
If you tap on a Goal tile or Goal Timeline, depending on permissions, you can view or edit all details in the Goal Details Screen.
Viewing Goals in the Goal Panel
On Desktop, the left side of the Goal Panel shows the Goal Tree, whereas the right side of the Goal Panel shows the Goal Timeline.
On Mobile in portrait mode (and on smaller screens in general), you can only see either the Goal Tree or the Goal Timeline at one given time. You can switch between them by swiping left or right (on screens that allow it), or by pressing either of these buttons that appear on the top of the Goal Panel:
- **Tree:**go to Goal Tree
- **Timeline:**go to Goal Timeline
Goal Tree
The Goal Tree shows you the goals in their hierarchical relationship (Parents vs Children Goals).
In the Goal Tree section of the Goal Panel, you will see:
- **Breadcrumbs:**these show you the “path” where the Goals underneath can be found in the Goal tree. Tapping on a breadcrumb lets you navigate to that position in the Goal tree.
- Goal tiles: these show you the Goals corresponding to the parameters set in the Filter Drawer. If you change the parameters in the Filter Drawer, the Goals you see here may also change. Each Goal tile contains the elements described in the following section
Goal Tiles
The Goal tiles consist of these elements:
- Coloured left border: this shows the colour set to represent this Goal
- The background: this can be of two colours:
- If the Owner has accepted the Goal, it is grey
- If the Owner has not yet accepted the Goal, it is white (see the section called “Accepting / rejecting Goals” for more details)
- Goal Owner Avatar: this is the person who is responsible for delivering this Goal. The thumb icon shows you whether the Owner is yet to accept, has accepted, or has rejected the Goal
- **Goal Timeframe:**start date and end date
- **Updated badge:**only visible if the Goal has changed since the last time you opened it
- **Goal Duration badge:**indicates the Goal’s duration; it displays the infinity sign if the Goal does not have an End Date)
- **Goal Deadline badge:**only visible if the Goal has a Deadline
- Goal State pill: this shows whether the Goal is on track, at risk, delayed, etc. (see full explanation of Goal States here) If you have permission to do so, you can tap it to mark the Goal as Done or Not Done
- Expand / collapse button: only visible if the Goal has Children Goals. Tap it to reveal / hide the Children Goals
- Goal Name: a brief explanation of what the Goal is about
- **Task button:**this button only appears when a Goal has 1 or more Tasks associated with it. It displays the number of Tasks. Tapping this button will display the specific Tasks which you have permission to view (in the Task Panel)
- **3-dot menu:**depending on your Goal editing permissions, you can see some or all of these options, which let you perform common actions quickly and conveniently:
- **Add new sub-Goal:**create a new Child Goal, nested underneath this one
- Add new Task: create a new Task for this Goal (see “Creating Tasks & assigning them to Goals and Owners”)
- **Move Goal:**move this Goal somewhere else in the Goal tree
- **Share / Copy Goal link:**share / copy this Goal’s unique link. On desktop and mobile web, it will copy the link, which you can then paste into another Goal or Task’s fields, a document, an email, or another tool of your choice. On mobile app, it will open your phone’s workflow to share the link to another app or copy the link
- See Goal Tasks: see the specific Tasks which you have permission to view (in the Task Panel)
- **Mark as Read / Unread:**mark the Goal as Read or Unread, depending on its current state. An Unread Goal will have a badge saying “Updated”
- Clone Goal: create another Goal that is identical to this one (and has you as the Goal Requester, regardless of who was the Requester of the original Goal)
- **Navigate to Goal:**navigate to that Goal’s position in the Goal tree
If you tap on a Goal tile, depending on permissions, you can view or edit all details in the Goal Details Screen.
Tapping and holding a Goal tile will navigate to that Goal’s position in the Goal tree.
Your permissions affect the Goal tiles you can see, namely:
- The Goal tiles of the Goals for which you are the Requester, the Owner, a Collaborator, or you belong to the Owning Team or a Team inserted in the list of Collaborators; the other Goal tiles will be invisible to you
- If you are an Admin in a Shared Space, you can see all Goal tiles created in that Space
- For the Personal Space, you can only see the Goal tiles for your own Personal Space and cannot see those from your colleagues’ Personal Spaces. Similarly, none of your colleagues can see the Goals belonging to your Personal Space, not even Admins
Goal Timeline
The Goal Timeline shows you the goals and their durations in time.
In the Goal Timeline section of the Goal Panel, you will see:
- Timeframe ruler: this represents the timeframe selected via the Filter settings in the Filter Drawer or at the top of the Overview Screen Navigation
- Breadcrumbs (on mobile - on desktop, these are only shown in the Goal Tree side): these show you the “path” where the Goals underneath can be found in the Goal tree. Tapping on a breadcrumb lets you navigate to that position in the Goal tree.
- Goal timelines: these show you the Goals corresponding to the parameters set in the Filter Drawer. If you change the parameters in the Filter Drawer, the Goals you see here may also change. Each Goal tile contains the elements described in the following section
Goal Timelines
The Goal timelines consist of these elements:
- Width: the width of the Goal Timeline indicates its duration compared to the selected timeframe, which is represented by the “timeframe ruler” at the top of the Goal Timeline section. If a Goal’s starts before the selected timeframe, ends after the selected timeframe, or both, its left and/or right extremities will show a visual indication of this by slightly “bleed” outside of the timeframe ruler’s boundaries
- Coloured border: this shows the colour set to represent this Goal
- **The background:**this shows a lighter variation of the colour set to represent this Goal
- Goal Owner avatar: this is the person who is responsible for delivering this Goal
- Expand / collapse button: only visible if the Goal has Children Goals. Tap it to reveal / hide the Children Goals
- **Goal Name:**a brief explanation of what the Goal is about
- **Goal State ribbon:**this shows whether the Goal is at risk, expired, delayed, done, or done late. No ribbon is shown for states indicating that the Goal is “on track to be done” (see full explanation of Goal States here)
If you tap on a Goal timeline, depending on permissions, you can view or edit all details in the Goal Details Screen.
Tapping and holding a Goal timeline will navigate to that Goal’s position in the Goal tree.
Your permissions affect the Goal timelines you can see, namely:
- The Goal timelines of the Goals for which you are the Requester, the Owner, a Collaborator, or you belong to the Owning Team or a Team inserted in the list of Collaborators; the other Goal timelines will be invisible to you
- If you are an Admin in a Shared Space, you can see all Goal timelines created in that Space
- For the Personal Space, you can only see the Goal timelines for your own Personal Space and cannot see those from your colleagues’ Personal Spaces. Similarly, none of your colleagues can see the Goals belonging to your Personal Space, not even Admins
Task Panel
Here you can view all Tasks that you have permission to view. You can also edit the existing Tasks for which you have editing permission.
Creating Tasks & assigning them to Goals and Owners
You can create a new Task in one of 4 ways:
- Tapping the big “+” button in the Bottom Navigation Bar
- Tapping anywhere in the Calendar Screen - the new Task will start from the point in time you tapped on the Calendar (you can change this later)
- In the Overview Screen’s Goal Panel, in a Goal tile, tapping the ‘3-dot menu > Add new Task’ (if you want to create a Task for that Goal)
- In the People Screen, in a User Tile, tapping the ‘3-dot menu > Add Task to User’ (if you want to create a Task with that person as the Owner)
Follow any of the options above to open the new Task’s Task Details Screen:
-
To create a new Task quickly, type in a Title (mandatory) and hit Enter - this is sufficient
-
Optionally, you also can:
- **Change the Task Owner:**if you don’t, you will be the Owner. The Task Owner must always be a person (use Goals if you want to assign a Team)
- Pick one or more Goals: this Task will be viewable by the Requester, Owner, Owning Team, and Collaborators for the selected Goal(s) (see Goal Details Screen for more details)
- Edit Title, Description, and Notes
- Change Timeframe, add a Deadline, or make the Task recurrent - and change many more things: all attributes you can change are described in detail in the “Task attributes” section
- PRO TIP: often, you might want to plan a project and thus assign multiple consecutive Tasks to that project, often to the same Owner. To make this easier, you can tick the box labelled “Save many Tasks with the same Owner and Goal(s)”. When you save a Task, a new Task with the same Owner and Goal(s) will automatically generate and you edit the details. Continue like this to create as many Tasks as you want, one after the other. When you are finished, simply untick this box to save the last Task and go back to the previous screen you were on
Viewing or Editing Task Details
If you tap on a Task card, depending on permissions, you can view or edit all details in the Task Details Screen.
Viewing Tasks in the Task Panel
In the Task Panel, you will see:
- Task number: the total number of Tasks being displayed
- Task duration: the sum of the durations of the Tasks being displayed. For example, if the Task Panel displayed 2 Tasks, one lasting for 1 hour and the other lasting for 2 hours, their total duration would be 1 + 2 = 3 hours
- **Task tiles:**these show you the Tasks corresponding to the parameters set in the Filter Drawer. If you change the parameters in the Filter Drawer, the Tasks you see here may also change. Each Task tile contains the elements described in the following section
Task tiles in the Task Panel of the Overview Screen
The Task tiles shown in the Task Panel consist of these elements:
- Left edge and external border colour: the left edge and external border are the same colour. This colour represents the Task State (see Task States explained)
- **The left ribbon:**this shows whether a Task belongs to your Work Space (it is blue with “Work” written on it) or to your Personal Space (it is grey with “Self” written on it). For more information, see section called “Work / Shared Space vs Personal Space”
- **The background:**this can be of two colours:
- If the Owner has accepted or rejected the Task, it is grey
- If the Owner has not yet accepted the Task, it is white (see the section called “Accepting / rejecting Tasks” for more details)
- Task Owner Avatar: this is the person who is responsible for delivering this Goal. The thumb icon shows you whether the Owner is yet to accept, has accepted, or has rejected the Task
- **Date:**when the Task is scheduled
- **The Start Time and End Time:**when the Task is scheduled
- **Task Duration badge:**indicates the Task’s duration
- **Updated badge:**only visible if the Task has changed since the last time you opened it
- **The Recurrency icon (if applicable):**if the Task is a Recurring Tasks (such as daily, weekly, monthly, etc), an icon representing 2 circular arrows will show. For more information, see “Repeat button” in the section called “Task attributes”)
- The Goal dots (if applicable): if the Task has one or more Goals associated with it, and the user has permission to see this Goal or these Goals, one coloured dot will be shown here for every such Goal. The colour of the dot will be the same as the colour of the Goal as displayed in the user’s Goal Panel
- **The Done toggle:**you can use this to either mark the task as Done or not Done. The state of this toggle is one of the elements through which the system determines the State of a Task (see the section called Task States explained)
- **The Task Title:**a brief explanation of what the Task is about
- **The 3-dot menu:**depending on your Task editing permissions, you can see some or all of these options, which let you perform common actions quickly and conveniently:
- Reschedule: quickly reschedule the Task to a different day / time
- **Postpone 1 day:**postpone to the same time 1 day later with 1 click (super useful)
- Postpone 1 week: postpone to the same time 1 week later with 1 click (super useful)
- **Change Deadline:**change the Task’s deadline
- **Delete:**delete the Task
- **Mark as Done / Mark as not Done:**mark the task as Done or Not Done, depending on its current state
- Share / Copy Task link: share / copy this Task’s unique link. On desktop and mobile web, it will copy the link, which you can then paste into another Goal or Task’s fields, a document, an email, or another tool of your choice. On mobile app, it will open your phone’s workflow to share the link to another app or copy the link
- Clone Task: create another Task that is identical to this one (and has you as the Task Requester, regardless of who was the Requester of the original Task)
- **Mark as Read / Mark as Unread:**mark the Task as Read or Unread, depending on its current state. An Unread Task will have a badge saying “Updated”
- **Create Goal from Task:**transform a single Task into a Goal with the same relevant attributes (Title, Description, Owner, etc.). This is useful for example in cases where a seemingly small deliverable turns into a bigger project that needs to be carried out across multiple days, weeks, etc.
Other things to note with regards to Task tiles in the Task Panel:
- Tapping any of the Task tiles you see here will open the Task Details Screen, where you can view the Task or modify the Task according to your Task editing permissions
- If postponing the Task in any way happens to move the Task to a time after its Deadline, you will be prompted to add an Explanation for Delay (see ““Explanation for Delay” and why it is important”)
Filter Drawer
In the Filter Drawer, you can modify your filter settings and create any Custom Filters you want, in order to have the Overview Screen display only the Goals and Tasks you wish to view.

- Assigned by Me
- My Upcoming
All Updates
You can access this view by opening the Drawer > ‘My At Risk and Expired’ (you might have to tap “Notifications” to reveal it), or by selecting it in the dropdown towards the top of the Filter Drawer.
This view shows you all Unread updates to the Goals and Tasks in which you are somehow involved - this includes updates from:
- Goals and Tasks where you play a lead role (Requester or Owner)
- Goals and Tasks you are observing (as a Collaborator, or as part of the Owning Team or a Team listed as Collaborator)
- Goals and Tasks where another user has simply left a Comment tagging you
- Etc
My At Risk and Expired
You can access this view by opening the Drawer > ‘My At Risk and Expired’ (you might have to tap “Notifications” to reveal it), or by selecting it in the dropdown towards the top of the Filter Drawer.
This view shows you the Goals and Tasks you planned to do before now, but did not do. This way, you can quickly and conveniently do the following things:
- If you simply forgot to mark some of these Goals or Tasks as Done, you can do so quickly here
- If you need to reschedule some of these Goals or Tasks for later, you can also do so quickly here
This view ensures you do not forget to do any Goals or Tasks you own. It does not include your Delayed Goals or Tasks, because these have been postponed with explicit reasons.
For definitions of what At Risk and Expired mean, see Goal States explained and Task States explained.
Other People’s Delayed and Expired
You can access this view by opening the Drawer > ‘Other People’s Delayed and Expired’ (you might have to tap “Notifications” to reveal it), or by selecting it in the dropdown towards the top of the Filter Drawer.
This view shows you other peoples’ Goals and Tasks that were not done on time (i.e. their Deadline has passed) or that are expected to be completed after their Deadline. You will only see Goals and Tasks that you have permission to see, such as Goals and Tasks you requested or Tasks for which you are a Goal Collaborator. This way, you can quickly and conveniently do the following things:
- See at a glance which Goals and Tasks are late, because their Deadline has passed and they were not completed (Expired = red colour)
- See at a glance which Goals and Tasks are expected to be completed after the Deadline (Delayed = orange colour), and see the reason why (by tapping on the Goal or Task and reading the Reasons for Delay or Explanation for Delay)
- See who is responsible for these Goals and Tasks
This view helps you understand which Goals and Tasks are off track and the reasons why, without having to chase their Owners all the time. You also see who is responsible for each problematic Goal or Task, in case you want to follow up directly with them.
For definitions of what Delayed and Expired mean, see Goal States explained and Task States explained.
Assigned by Me
You can access this view by opening the Drawer > ‘Assigned by Me’ (you might have to tap “Notifications” to reveal it), or by selecting it in the dropdown towards the top of the Filter Drawer.
