Calendar Screen

Guidance from the current Satisplan knowledge base about calendar screen.

  • The Calendar Screen is where you can plan when you intend to do your Tasks, edit Tasks, and mark Tasks as Done
  • This is exactly a Calendar, where you can see your Tasks in a daily or weekly or monthly view
  • The Calendar Screen is central to Satisplan, because research shows that if a Task is not scheduled, it is less likely to happen
  • Here you can see both your Work Tasks and your Personal Tasks together
  • If you are syncing an external calendar such as your Google Calendar, you will also see its tasks and events here (see the section called “Syncing your external Google Calendar with Satisplan“ for more details)
  • You can also see some of your team’s Tasks (see Calendar Screen navigation)
  • Tapping any of the Task Tiles you see here will open the Task Details Screen, where you can view the Task or modify the Task according to your Task editing permissions
  • Without opening the Task Details Screen, if you have the right Task editing permissions, you will also be able to perform some quick actions by tapping the 3-dot menu on the right hand side of the Task Tile (see “Task tiles in the Calendar Screen” below for more details)
  • You can also change the Task date and time by dragging the Task Tile across the Calendar Screen

Calendar Screen navigation

In the top navigation bar, you will see from left to right:

  • **The Drawer button:**see the section called “The Drawer”
  • **The Time Navigation:**it consists in the name of the current month and two arrows. Tapping the name of the current month lets you jump to any date, while tapping the arrow lets you go back and forward in time
  • The Today button: tapping this goes to Today
  • **The Task Ownership toggle:**tapping it changes which Tasks you see in your Calendar Screen, toggling among these 3 configurations:
    • Tasks assigned to you: these are the Tasks for which you are the Owner (i.e. the Tasks you have to do)
    • Tasks assigned to you and tasks you requested: these are the Tasks for which you are the Owner or the Requester or both (i.e. the Tasks you have to do and the Tasks you have asked someone else to do for you)
    • Tasks you requested but not assigned to you: these are the Tasks for which you are the Requester but not the Owner (i.e. the Tasks you have asked someone else to do for you)
  • The Calendar Views toggle: tapping it lets you toggle among daily, weekly, or monthly view
  • The Hide Done toggle: tapping it hides and shows Done Tasks - this way you can easily spot what Tasks were left behind

Task tiles in the Calendar Screen

In the Calendar Screen, each Task is represented by a Task Tile. The Task Tiles shown in the Calendar Screen consist of these elements:

  • **The left edge and external border colour:**the left edge and external border are the same colour. This colour represents the Task State (see Task States explained)
    • For tasks or events synced from an external calendar such as your Google Calendar, they are the colour you have set in your external calendar (because external calendars do not have Task States)
  • **The left ribbon:**this shows whether a Task belongs to your Work Space (it is blue with a “W” for “Work” on it) or to your Personal Space (it is grey with a “S” for “Self” on it). For more information, see section called Work / Shared Space vs Personal Space
    • For tasks or events synced from an external calendar such as your Google Calendar, there is no ribbon
  • **The background:**this can be of 3 colours:
    • If you have accepted the Task and it is marked as “Busy” (see Task attributes), it is solid grey
    • If you have accepted the Task and it is marked as “Available” (see Task attributes), it is grey and striped
    • If you have not yet accepted the Task, it is solid white (see “Accepting / rejecting Tasks” for more details)
  • The Task Title: the writing you see in the Task Tile is the Task Title (see Task attributes)
  • The 3-dot menu: if you have the right Task editing permissions, clicking this menu lets you perform some common actions quickly and conveniently, without needing to open the Task Edit Screen. These actions are:
    • Reschedule: quickly reschedule the Task to a different day / time
    • Postpone 1 day: postpone to the same time 1 day later with 1 click (super useful)
    • Postpone 1 week: postpone to the same time 1 week later with 1 click (super useful)
    • Change Deadline: change the Task’s deadline
    • Delete: delete the Task
    • Mark as Done / Mark as not Done: mark the task as Done or Not Done, depending on its current state
    • Share / Copy Task link: share / copy this Task’s unique link. On desktop and mobile web, it will copy the link, which you can then paste into another Goal or Task’s fields, a document, an email, or another tool of your choice. On mobile app, it will open your phone’s workflow to share the link to another app or copy the link
    • Clone Task: create another Task that is identical to this one (and has you as the Task Requester, regardless of who was the Requester of the original Task)
    • Create Goal from Task: transform a single Task into a Goal with the same relevant attributes (Title, Description, Owner, etc.). This is useful for example in cases where a seemingly small deliverable turns into a bigger project that needs to be carried out across multiple days, weeks, etc.

Other things to note with regards to Task Tiles in the Calendar Screen:

  • Tapping any of the Task Tiles you see here will open the Task Details Screen, where you can view the Task or modify the Task according to your Task editing permissions
  • You can also change the Task date and time by dragging the Task Tile across the Calendar Screen
  • If postponing the Task in any way happens to move the Task to a time after its Deadline, you will be prompted to add an Explanation for Delay
